Hotels: the failure the guest sees is already expensive

In a hotel, the air conditioning that does not cool in room 204 is not a technical issue. It is a two-star review. What makes the difference is how fast the request reaches maintenance and that the repair does not get lost between shifts.

What usually happens

  • The housekeeper spots the fault while checking the room, writes it on a slip of paper, and the paper travels. Or does not.
  • The front desk calls maintenance by phone and there is no trace of what was asked or when.
  • Nobody knows how many times the same air conditioning unit has been repaired or which rooms cause the most trouble.
  • Boiler, pool and kitchen inspections live in separate binders, each kept its own way.
  • High season arrives and the same three units fail again, exactly as they did last year.

A typical day in a 120-room hotel

  1. 08:30. Housekeeping starts the floors. Room 312: the shower drain is slow. The housekeeper scans the QR code inside the wardrobe door and reports it with a photo. Room 204: the AC blows warm. Same thing.
  2. 08:45. The maintenance manager sees both requests on the phone, converts them to work orders and assigns them. Room 204 gets high priority: it is occupied tonight.
  3. 10:00. The technician clears the drain, closes the order in two minutes with the stopwatch time. Then the AC: a clogged filter and low refrigerant. The order is closed with a photo; the unit history now shows the third refrigerant top-up in eighteen months.
  4. 14:00. The weekly pool water treatment order, generated by the PM plan, is done and signed. The monthly hood cleaning for the restaurant kitchen is due tomorrow.
  5. Next Monday. The manager looks at the report: room 204's unit is on the replacement list, and the monthly summary for the owner is a CSV export, not an evening of typing.

Does it integrate with our PMS or channel manager?

No, and we say so up front: onCMMS does not talk to the property management system. It handles maintenance (requests, work orders, PM, history), not occupancy. Housekeeping reports by QR code, and that loop needs no integration.

Can a guest report a problem?

They could, since the QR form needs no account, but the usual setup is for staff to report: the guest tells the front desk and the front desk records it, which filters the noise. You decide where the codes go.

How do we handle seasonal properties?

PM plans have a yearly frequency and a lead time, so a pre-season HVAC check or a post-season pool shutdown generates its orders when you want them. The working calendar can mark the closed months as non-working days.
