What the Free plan includes
- 2 users with access and up to 25 assets on 1 site.
- The complete loop: maintenance requests, work orders with checklists and signatures, QR codes, preventive maintenance, meter readings and reports. It is not a cut-down version.
- Unlimited requesters and QR requests: anyone in the company can report a problem by scanning the code on the equipment, without using up a user seat.
- No card, no expiry date, and your data hosted in the European Union.
When you create the account you also get 30 days of the full Workshop plan to try everything without limits; when they end, if you have not subscribed to anything, the account moves to the Free plan and you keep your data.
Who it is more than enough for
A small workshop, a business with one site and a dozen machines, or anyone who wants to organize maintenance for the first time without asking anyone for a quote. Two people managing (the one who decides and the one who repairs) and everyone else reporting through QR codes: for that, the Free plan is not a trial. It is the plan.
What "free forever" means here
Many "free" CMMS offers are a 14-day trial with a card on file, or a free tier that leaves out the one feature you need (usually preventive maintenance or reports). Here the Free plan has no end date, asks for no card, and includes every module. What it limits is size: users with access, assets and sites. Those limits are shown inside the application ("2 of 2 users with access") and on the pricing page.

When it gets too small
When you need more than 2 people with access (a second technician with work orders assigned to them, for example), more than 25 assets or more than one site. That is the step up to Workshop ($49 a month: 5 users, 250 assets, unlimited sites), which is the plan most small businesses end up on. The limits of every plan are in one table, and if you approach one we tell you and you adjust: there are no automatic cut-offs.
"Download free CMMS": there is nothing to download
If you arrived looking for a free CMMS to download: onCMMS runs in the cloud, in the browser of a computer or a phone, so nothing is downloaded or installed. Free desktop programs are usually single-user: fine for an inventory, but maintenance is a team sport. The person who reports is not the person who repairs.
And a free spreadsheet template?
If you only want to write down equipment and dates, a spreadsheet will do and you do not need to sign up anywhere. The limit arrives when several people report, when preventive maintenance depends on someone looking at the sheet, and when you have to prove what was done. Quick questions
Does the Free plan expire or ask for a card?
No and no. It is free forever, with no card. You only pay if one day you choose a paid plan because you need its limits.
What happens to my data if I never pay?
Nothing: it is yours, it stays in your account, and you can request a complete export whenever you want. The Free plan is not bait with a date on it.
Can I start free and grow later?
That is the intended path: you start on Free, and if one day you need more users, assets or sites, you subscribe to Workshop or Business from inside the application, without migrating anything.
How is the Free plan different from the demo?
The demo is a sample company, shared with other visitors and reset every night: it is for looking. The Free plan is your real company, with your data and your privacy.
Is the interface in English?
Not yet. onCMMS is built in Spain and the application interface is currently in Spanish; an English interface is on the roadmap and moves up as soon as an English-speaking team asks for it. The Free plan is a good way to check whether that is a blocker for your team.
