What a request is
A request is "this is broken" or "this is not working right", with the minimum information someone needs to decide what to do: a short title, a description, a priority, the asset or location affected, and any photos you want to attach.
Three ways to report a problem
- From the app. The requester logs in, taps "New request" and describes it. On a phone, the photo button opens the camera directly.
- By scanning the asset's QR code. The label on the machine opens its public page and, from there, a form to report the problem with no account and no password. This is what you give the line operator or the store manager.
- Created by the supervisor. When the problem arrives by phone or in the hallway, it gets recorded all the same, so there is a trace.
What happens next
As soon as it is saved, administrators and supervisors receive an email. From the request, one button turns it into a work order: the data is copied over and you pick who it is assigned to.

| Resolved | The work order was completed. The request moves to resolved on its own and the person who created it gets an email. |
| Closed | Closed by hand when nothing needs doing: a duplicate, a false alarm, or something already fixed. |
The loop closes by itself: the person who reported the problem gets an email when it is resolved. That is the difference between a system people use and one they abandon after two weeks.
Who sees what
- A requester sees only the requests they created.
- A technician sees the company's requests and the work orders assigned to them.
- A supervisor and an administrator see everything and decide what becomes work.
Can someone without a user account report a problem?
Yes, by scanning the asset's QR code. The public form asks for a name and a description, accepts a photo, and is rate-limited by IP address so it does not become a spam inbox.
Can requests be deleted?
No. History is never deleted: requests are closed, leaving a record of who closed them and when.
Do notifications reach the phone?
Notifications are sent by email, which everyone already has set up on their phone. There is no app to install to receive them.
Do requesters count as users on my plan?
No. Requesters and anyone reporting through a QR code never count and are never charged, on any plan.
