Getting started

How do I create an account for my company?

Fill in the form on the home page. The account is created instantly: your company, your administrator user and an email with the login address and your password. No waiting, no card.

What if I already have an account with that email?

Then a second one is not created: one email belongs to one company. Log in with it, or use the "forgot my password" link on the login page.

How long does it take to get running?

One afternoon. You create your sites, import your assets from a CSV file, print the QR labels and you can start working. Preventive maintenance plans can come later. The getting started guide walks through it step by step.

Do I have to install anything?

No. It is a web application: it opens in the browser on a computer or a phone. On the phone you can add it to the home screen and it gets its own icon, like any other app. There is no app-store app and no offline mode.

Can I try it without signing up?

Yes. The public demo is a sample company with data already in it. You enter with one click as any of the four roles and touch everything; it resets every night.

Pricing and plans

How much does it cost?

There is a free plan forever (2 users and 25 assets) and paid plans from $49 a month per company, not per user. Everything is on the pricing page: no minimum term, no setup fee.

How does the trial work?

Every new account gets 30 days of the Workshop plan with no card. When the trial ends the account moves to Free within its limits; nothing is blocked and no data disappears. If you want to stay on Workshop or Business, you pick the plan inside the application.

Do requesters count as users?

Never. Only administrators, supervisors and technicians count. People who only report problems, anyone who reports by scanning a QR code, and external contractors who get a work order by email are free, on every plan.

How is payment handled?

By bank transfer with an invoice: international transfer, or SEPA inside Europe. We do not take card payments yet. You choose the plan in the application, we contact you to confirm the billing details and send the invoice, and the plan is active from the moment you choose it.

Can I have several companies?

Yes. Each company is an isolated workspace with its own users and data. Several companies of the same group can go on a single invoice: write to us and we set it up.

What happens if I go over my plan?

The application shows your usage ("3 of 5 users with access") but does not cut anything off automatically. We see it, tell you, and adjust the plan together. No surprise charges.

Data, privacy and hosting

Where is my data hosted?

In the European Union. The servers are in France, files (photos, documents, signatures) are stored in Cloudflare R2 under EU jurisdiction, and email is sent through Resend in its EU region. Details on the security and data page.

Can another company see my data?

No. Every company is isolated from the others: assets, requests, work orders and users are never shared. The isolation is covered by automated tests that try to reach another company's records by direct identifier.

Can I export everything?

Yes. Lists export to CSV from inside the application, and on request you get a complete export: every table as JSON, the lists as CSV and all files (photos, documents and signatures).

And delete it?

Also. There is a deletion procedure that removes the company's data and files, and exports a copy beforehand so you can keep it. It covers the GDPR rights to portability and erasure.

Are there backups?

A daily database backup, kept on the server and off it, with restoration tested.

Do you use tracking cookies?

No. The application uses only the technical ones: the session and the form security token. This website measures visits with self-hosted Umami, which sets no cookies and stores no personal data.

Using it day to day

Does it work offline?

No. It needs mobile coverage or Wi-Fi. What does work without an account is the request form behind each asset's QR code.

Can someone without a user account report a problem?

Yes, by scanning the QR code on the asset. That is what you give the line operator, the store manager or the people in a building: they scan, describe the problem, attach a photo, and the request lands with your team.

Does a technician see everyone else's work?

A technician sees the work orders assigned to them. Supervisors and the administrator see everything.

Can a work order be deleted?

No: it is cancelled, and the record keeps who cancelled it and why. History is never deleted.

Do I get notifications on my phone?

By email, which every phone already has set up: new requests, work orders assigned to you, completed work waiting for validation, and a daily summary of what is overdue. Each user chooses which emails to receive.

What time zone does the application use?

Each company has its own time zone setting. New accounts start on Europe/Madrid (Central European Time) and the administrator changes it in the company settings; dates and times are then shown in that zone.

What happens if nobody does a preventive task?

The work order stays open and counts as overdue on the dashboard and in the daily summary the supervisors receive.

Language and roadmap

Is the interface in English?

Not yet. onCMMS is the international edition of GMAO.es, and the application interface is currently in Spanish. An English interface is on the roadmap, and it moves to the top of the list as soon as an English-speaking team asks for it. If that is you, tell us: it is the most direct way to make it happen.

Do you have an API?

Not a public one yet. Data moves in and out by CSV: assets and work order history in, everything out. A public API is the next serious technical step on the roadmap; see integrations.

Is there a native app?

No. It is a responsive web application designed for the phone first. Add it to the home screen and it behaves like an app, without app-store updates.

What does onCMMS not do?

It is not an ERP, it does not handle purchasing, a valued spare-parts inventory, payroll or invoicing, and it has no IoT or predictive maintenance. It does maintenance, and does it whole. The product page lists everything it does and does not do.

Support

Is there support?

Yes, by email, and it is answered by the people who build the product, in English or Spanish. There is no call center and no ticket queue where things get lost. See the contact page.

Is there a manual?

There is a full manual in Spanish, with screenshots, at https://gmao.es/manual/. In English, the getting started guide covers the first afternoon; the rest we answer by email while the English documentation catches up.

What happens if I leave?

You take your data with you: a complete export in reusable formats. Then we delete what has to be deleted. There is no minimum term and no exit fee.

Who is behind onCMMS?

The team that builds GMAO.es, a maintenance management SaaS made in Spain and used by real companies there. Same product, same team, same application; this site simply speaks English and prices in US dollars.
