Warehouses: the fleet ages by the hour, not by the month

What usually happens

• Each truck's hours are written in a notebook, if at all, and nobody reads it.
• Tire replacement is noticed when the truck bounces, not when it was due.
• Requests ("truck 13 is slow on traction") are said out loud between shifts and lost.
• The service contractor asks what was done to the truck and someone has to remember.
• Dock levelers, high-speed doors and cold rooms get inspected "when there is time".

How it works with onCMMS

• Every truck with its hour meter as a meter reading: readings are recorded from the asset sheet, or when closing a work order, and shown on a chart.
• Meter-based preventive maintenance generates the service only when the truck has accumulated the set hours: "every 250 hours" means every 250 actual hours.
• Anyone on shift reports by scanning the QR code on the truck, with a photo and without an account.
• Each order is tied to its reading: you know at how many hours the last set of tires went on and how long it lasted.
• Dock levelers, doors and cold rooms on a calendar PM plan with a signed report.
• The forklift dealer's service visits go out as a PDF from the order and come back into the same history.

Example setup: a distribution center with twenty trucks

One site, locations for receiving, picking, cold storage and shipping. Assets: twelve counterbalance forklifts, five reach trucks, three electric pallet trucks, eight dock levelers with shelters, four high-speed doors, two cold rooms, a battery charging room and the sprinkler system. One maintenance supervisor and two technicians; the trucks are under a service contract with the dealer.

1. Every truck gets a running-hours meter and a QR label on the mast. The service plan is "every 500 hours" on counterbalance trucks and "every 400 hours" on reach trucks, plus a yearly inspection by calendar.
2. Shift leads record the hour meter at the end of each week from the phone; it takes a minute per truck. Technicians also record it when they close any order on that truck.
3. When truck 7 crosses 4,000 hours, its service order appears. The supervisor sends it to the dealer as a PDF; the dealer's technician comes, the supervisor closes the order with the hours and the service sheet attached.
4. A picker reports "dock 3 leveler stuck halfway" by QR. It becomes an urgent order and the dock is back in service before the afternoon trailer.
5. The quarterly report shows truck 12 with four times the corrective orders of the fleet average at the same hours. The lease renewal conversation starts from that.
