Assets and QR codes: the history stuck to the machine

The inventory is the backbone: every request, every work order and every PM plan hangs off an asset. And every asset carries its QR code, which turns a label on a machine into the entrance to its whole history.

The asset sheet

  • Internal code (unique within your company), name, description, brand, model and serial number.
  • Where it is: site and location inside the site.
  • Category, to group by family: HVAC, machinery, installations…
  • Status: operational, broken down, under repair or out of service.
  • Criticality, installation date, notes and photos. Assets without a photo get an icon inferred from their name.
  • Its complete history: the requests and work orders it has had.

Adding assets: by hand or by CSV

You can create them one by one or import them all at once from a CSV, with a downloadable template. The import creates any missing sites, locations and categories on the way (this can be turned off), processes each row in its own transaction (an error on row 40 does not undo the previous 39) and returns a line-by-line report. It handles the files Excel actually produces: Windows-1252 encoding, byte order marks, accented headers and local date formats.

The QR codes

From the asset sheet you print a label with the asset's QR code. The code is not the asset's ID: it is a random hash, so nobody can guess another asset's URL by trying numbers.

Scanning the label with a phone camera opens a public page with:

  • Which asset it is, where it is and what status it is in.
  • A button to report a problem without an account, photo included.

This is the practical difference between an inventory and a CMMS that gets used: the operator who sees the problem does not need a user account, training, or to find anyone. Scan and describe.

What kind of labels do I need?

Whatever you already have. The label is printed from the application on a normal sheet; for outdoor equipment it is worth laminating it or using vinyl labels.

Can a QR code be regenerated?

The code is created with the asset and stays the same, so printed labels keep working.

How many assets can I add?

There is no hard technical limit; the application is tested with lists of thousands of records and every list is paginated. Each plan has a commercial ceiling: 25 assets on Free, 250 on Workshop, unlimited from Business up.
